How to assign a supplier to hundreds of Shopify products at once

Assigning a supplier to a product one at a time works fine for a dozen SKUs. It stops working the day you take on a supplier with a few hundred products already in your catalog — which is exactly when a merchant messaged us after picking up a new vendor line with over 600 SKUs to link.

The real case: 600 products, one supplier

The merchant already used Shopify's vendor field consistently — every product from that supplier was tagged with the same vendor name. What was missing was a purchasing relationship: which supplier to email a PO to, at what lead time, and at what starting cost. Opening 600 product pages one by one to set that up isn't a task, it's a week.

The fix is to use the vendor field as the filter and turn "every product with vendor X" into "every product linked to supplier X" in one pass:

  1. Pick a supplier record (or create one).
  2. Pick the matching Shopify vendor name from your store's actual vendor list.
  3. Preview the match — how many products found, how many will be newly linked versus already linked elsewhere.
  4. Confirm, and every matching product gets the supplier link in one commit.

The two rules that make this safe

Bulk operations on live catalog data are risky if they overwrite things they shouldn't. Two rules matter here:

Preview before commit matters more than either rule individually — seeing "580 will be linked, 20 skipped (already assigned elsewhere)" before you click confirm is what makes this safe to run on a catalog you didn't build the mapping for by hand.

When one-by-one is still fine

If you're adding a supplier for three or four products, don't reach for a bulk tool — assigning them individually from the purchase order screen takes less time than setting up a filter. This is for the onboarding moment, not routine use.

Frequently asked questions

Does Shopify let you bulk-assign a supplier to products?

No — Shopify's own admin has no supplier field on products at all. Vendor is the closest native field, and it's not the same thing: vendor is a brand label, not a purchasing relationship with cost and lead time attached.

What happens to products already assigned to a different supplier?

A safe bulk assignment should skip them rather than overwrite silently — a product already linked to Supplier A shouldn't get reassigned to Supplier B just because it also matches a vendor filter.

Will this overwrite unit costs I've already set?

It shouldn't touch a cost your purchase order history has already taught the system — only new links get an initial cost, existing ones are left alone so a bulk operation can't quietly undo prices learned from real orders.

How do I preview what will change before committing?

Run it as a preview first: how many products matched, how many will actually be linked versus skipped, before anything is written. Confirm only after checking those numbers look right.
