How to receive a shipment across multiple purchase orders in Shopify

A truck shows up with fifteen boxes. Some of that stock is against a purchase order from your snowboard supplier, some against a separate order from your bindings supplier, and a few items belong to a PO you placed three weeks ago that's still only half-filled. This is a normal Tuesday for a lot of stores — and it's exactly the situation most purchase order tools handle badly.

Stocky required you to open one purchase order, receive against it, close it, then open the next one, and repeat for every PO the shipment touched. For a store getting deliveries that mix multiple open orders every week, that's the single biggest source of friction in the whole receiving workflow.

Why one shipment often spans several purchase orders

This isn't an edge case. It happens whenever:

In every one of these cases, receiving PO-by-PO means stopping mid-unpack to figure out which box belongs to which order — exactly the kind of manual sorting a barcode scanner should be eliminating, not causing.

How Reorda's unified receive screen works

Reorda has a dedicated Receive shipment screen, separate from any single PO's page, reachable straight from the purchase orders list. It pulls together every open purchase order for your store — anything marked Ordered or Partially received — and shows their outstanding lines side by side.

From there, the flow is:

  1. Scan a barcode (or type a SKU) with the same USB/Bluetooth scanner you'd use anywhere else in Reorda.
  2. Reorda looks up which open purchase orders still have that item outstanding, and matches the scan to the oldest one with quantity left to receive — first in, first served.
  3. The quantity for that line increments automatically. A toast confirms which PO the scan was applied to, so you're never guessing.
  4. Keep scanning across the whole shipment, regardless of how many POs or suppliers it touches.
  5. Hit Receive once. Every affected purchase order updates its received quantities, and Shopify's inventory adjusts at each PO's own receiving location.

If a scan doesn't match anything outstanding — wrong item, or already fully received — Reorda tells you immediately instead of silently dropping it.

What "oldest PO first" actually means

Say you have two open purchase orders for the same snowboard SKU: PO-1001 (90 units still outstanding) and PO-1004 (150 units still outstanding), placed later. A scan of that SKU always applies to PO-1001 first, since it's been open longest. Only once PO-1001 is fully received does the next scan start filling PO-1004.

This mirrors how most warehouses actually think about receiving — the order you've been waiting on longest gets closed out first — without you having to track which PO is "next" by hand.

One shipment, several failure-tolerant receipts

Because each purchase order in a batch is received independently, one problem doesn't block the rest. If one PO has no receiving location set, Reorda flags exactly that PO while still completing the others in the same batch — you fix the one location issue and move on, instead of the whole shipment stalling.

Stop receiving purchase orders one at a time

Reorda's Receive shipment screen scans a mixed delivery once and matches every item to the right open PO automatically. $19/month flat, 14-day free trial.

Frequently asked questions

What happens if a scanned item isn't outstanding on any open PO?

Reorda tells you immediately instead of silently ignoring the scan — the item either isn't on an open purchase order at all, or every PO ordering it has already been fully received. Either way, you find out before it gets lost in a pile of unlabeled stock.

Which PO gets the stock if the same SKU is on more than one open order?

Reorda matches to the oldest open purchase order (by PO number) that still has outstanding quantity for that item — the one you've been waiting on longest. Once that PO is fully received, the next scan of the same SKU rolls onto the next-oldest one.

Does this replace receiving from an individual PO's page?

No — both stay available. Use the individual PO page when a delivery is a single, clean order. Use the unified receive screen when one shipment (or one day's worth of deliveries) spans multiple suppliers or purchase orders.

Does inventory update per PO or all at once?

Per PO. Each purchase order in the batch adjusts Shopify inventory at its own receiving location independently, so if one PO fails (for example, no location set), the others in the same batch still go through.
